From five tools to one GymOS
How a 12-trainer fitness studio consolidated booking, messaging, spreadsheets, and billing into a single system it owns, with the first module live in three weeks.

This is a worked example built on our GymOS demo, not a real client engagement. Every number below is illustrative. It shows exactly how we structure a project, and it's the template we'll fill with real client stories as they launch.
The problem
Five disconnected tools ran the studio: a Mindbody-style booking platform, WhatsApp Business for member messages, two spreadsheets tracking memberships and attendance, and QuickBooks for dues.
The symptoms were predictable. Double bookings when the calendar and the spreadsheet disagreed. Renewals chased manually, one WhatsApp message at a time. And no single view of a member: front desk had to open three apps to answer "is Sam paid up and booked for Thursday?"
What we built
One GymOS: memberships, class booking with fill-rate caps, automated WhatsApp renewal reminders, and dues billing, all reading from one member record.
The first module (booking) went live in 3 weeks. The full system launched in 8, with the old tools still running alongside until the studio was ready to switch off.
How the migration worked
Nothing was switched off on day one. The old booking platform, WhatsApp threads, spreadsheets, and QuickBooks all stayed live for a 30-day parallel run while GymOS handled the same work alongside them. Subscriptions were cancelled last, not first: only after the new system had proven itself in real operation.
Member and attendance data was migrated from the two spreadsheets into the GymOS database, checked against the old records during the parallel run. Staff training took one afternoon, not because the team was unusually technical, but because there is exactly one screen to learn instead of five.
